*Office Manager Job Description* As the Office Manager, you will play a pivotal role in ensuring the smooth day-to-day operations of our office, with responsibilities ranging from traditional receptionist duties to providing support to installation and service projects.
The ideal candidate is proactive, detail-oriented, organized and capable of managing multiple responsibilities with efficiency.
The Office Manager will be required to learn, operate and maintain the project management system software, as well as interact with customers and staff to facilitate the efficient implementation of projects and services.

*\*\*Key Responsibilities\*\** _Office Reception and Communication:_ - Answer, document and direct incoming calls with a professional and friendly demeanor.
- Greet visitors, clients, and vendors in a welcoming manner.
- Manage incoming and outgoing mail and packages.
_Project Support:_ - Collaborate with the project leads to coordinate and schedule projects and staff.
- Learn and operate our project management/service software program to 1) Enter and track service calls 2) Work with service technician to complete work order 3) Validate with lead and finalize for billing 4) Order and track project material 5) Manage job tasks and assist field staff tracking hours 6) Manage shipping and receiving processes 7) Handle inventory tasks.
- Assist Project leads in creating and updating project schedules as well as the scheduling of the day to day tasks of employees.
- Assist Field Supervisor in coordinating project field labor and material management.
- Assist the Project leads in ordering, receiving and coordinating the delivery of all the materials necessary for the execution of the projects and services to customers and field teams.
- Responsible for entering project and service data into project management system and updating on a daily basis.
- Assist Project leads in collecting and filing all documentation related to a project such as creating submittals, RFIs, change orders and Operation and Maintenance manuals.
_General Office Support:_ - Monitor and order office supplies as needed.
- Ensure the office environment is tidy and well-maintained.
- Handle general inquiries and provide information to staff as required.
- Assist with basic accounting tasks, such as data entry and invoice processing.
- Maintain organized and up-to-date filing systems for documents and records.
- Prepare and modify documents, including correspondence, reports, and presentations.
- Assist with monthly reports to track time, billing and profitability.

- Ability to work independently and as part of a team.
- High level of discretion and ability to handle confidential information.
- Highly developed sense of integrity and commitment to customer satisfaction.
- Has "thick skin" and is able to handle complaints and unpleasant customers, having a pleasant, patient and friendly attitude.
*Preferred Qualifications* - 3-5 years of experience working in customer service or similar positions performing similar duties or office environment.
- Basic understanding of accounting principles with the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Willingness to work a flexible schedule and occasional overtime when needed.
- Ability to write routine reports and correspondence.
